Terms of Service

The agreement between you and Doboti: accounts, plans and payment, your data, and what each of us is responsible for.

Updated 4 November 2026

These terms are the agreement between you and us for using Doboti. We kept them as short and plain as we could.

1. Who we are

Doboti is run by SANDU C. MIRCEA PFA, a sole proprietorship (PFA) registered in Romania, Trade Register no. F40/550/2019, CUI (VAT ID) RO40773137, with its registered address at Str. Sfântul Petru Tei nr. 44-46, et. 1, ap. 3, Sector 2, București, Romania (“Doboti”, “we”, “us”).

These Terms of Service (“Terms”) apply to the app at app.doboti.com and to this website, doboti.com (together, the “Service”). By creating an account or using the Service you agree to these Terms. If you don’t agree, please don’t use the Service.

How we handle personal data is explained in our Privacy Policy, which is part of these Terms.

2. The service

Doboti is accounting software for Romanian freelancers (PFA) and small companies. It includes invoices, clients, expenses, bank statements, an Inbox for documents you receive by email, the monthly archive for your accountant (Month close), e-Factura, and an optional connection for AI assistants.

Doboti is a tool, not an accountant. We do not give accounting, tax or legal advice. You and your accountant stay responsible for your accounting, your tax returns, and what you send to ANAF. Doboti helps you keep the documents in order and on time.

We keep improving Doboti, so features may be added, changed or retired over time (Section 15).

3. Accounts

You must be at least 18 years old and able to enter into a contract. Doboti is meant for business use: you use it for your PFA, your company, or a company that gave you access.

You can sign up with an email address and password, or with Google. Give accurate information, keep your password safe, and tell us at once at support@doboti.com if you think someone else used your account. You are responsible for what happens under your account. An account is for one person and cannot be transferred.

We email you about your account and the service: verification, security notices, invitations, your trial, billing, and changes to these Terms. These emails are part of the Service. We send marketing emails only if you agree to them separately.

4. Companies and members

You can add one or more companies to your account and invite other people, such as a partner or your accountant. Members see and change a company’s data according to the role you give them. Only invite people you trust with that company’s documents.

If you add a company, you confirm that you have the right to manage its accounting data.

5. Plans, trial and payment

Free. Invoices are free.

Pro. Everything else (expenses, bank statements, the Inbox, Month close, recurring invoices, the AI assistant connection and more) is in Pro: EUR 5 per month or EUR 50 per year, for each company. VAT is included in the price. The checkout shows the final amount.

Trial. Each person gets one free trial month of Pro, shared by all their companies. If you sign up between the 1st and the 15th, the trial month is the current month; after the 15th, it is the next month. The trial ends on the 5th of the following month, when Doboti builds that month’s archive for you. After the trial, you can still finish and send the trial month’s archive. The other Pro features stop until you subscribe.

Who sells it. Pro is sold through Stripe Managed Payments. The reseller is Sold through Link, LLC, a Stripe affiliate (“Link”). It takes the payment, handles VAT and other taxes, and issues your invoice. Link’s Sold through Link Terms apply to the purchase. We stay responsible for Doboti itself. We never see or store your card details.

Right of withdrawal. If you buy as a consumer under EU or UK law, you can cancel within 14 days from the day you get access to Pro, without giving a reason. To cancel, contact Link support and give “cooling off period” as the reason. If you buy for a business (a PFA or a company), you are not a consumer, and this right does not apply.

Renewal and cancellation. A subscription renews at the end of each period until you cancel it. You can cancel at any time from the plan page in the app. Your plan stays active until the end of the period you paid for and does not renew after that. We do not refund the unused part of a period, except where the law or the seller’s terms require it. If something went wrong, write to support@doboti.com and we will look at it.

Price changes. We may change prices. For existing subscriptions we tell you at least 30 days before a new price applies, so you can cancel first.

Failed payments. If a renewal payment fails, the seller may try again. If it still fails, Pro features may stop until the payment succeeds. We never delete your data because a payment failed.

6. Your data

Your data stays yours. Everything you put into Doboti (invoices, clients, expenses, statements, mail, files) belongs to you or your company. You give us only the limited licence we need to store it, process it, back it up and show it to the people you share it with, so that we can run the Service. We claim no other rights over it.

Export. You can export a company’s data from the app at any time, on any plan.

Keep your own records. Romanian law asks you to keep accounting documents for years. Doboti keeps your data until you delete it, and keeps daily backups, but you stay responsible for your legal retention. Export before you delete a company or your account: deleted data cannot be recovered after 30 days.

7. e-Factura and other things that leave Doboti

When you connect e-Factura, you authorise Doboti to send invoices to ANAF and read ANAF’s answers for that company. An invoice goes to ANAF only when you, or a member of your company, send it. You are responsible for what you send and for meeting the legal deadlines. We show the deadline and the status, but we cannot guarantee ANAF’s availability or its answers.

The same applies to everything else you send from Doboti: invoices emailed to your clients and archives sent to your accountant. Check them before you send.

8. AI features

Doboti uses AI to read invoices, receipts and bank statements and to suggest details. Suggestions are made automatically and can be wrong. Check them before you rely on them, especially amounts, dates, VAT and tax IDs. To the extent the law allows, we are not responsible for decisions you make based on an AI suggestion that you did not check.

9. AI assistants

You can connect an AI assistant, such as Claude or ChatGPT, to Doboti over the Model Context Protocol (MCP). This section applies only if you do.

Off by default, and under your control. No assistant can reach your data unless you connect it yourself and choose its companies. You can revoke a connection at any time in the app, and it stops at once.

The assistant acts as you. It can do what your role allows in the companies you chose, except company details, bank accounts and e-Factura settings. Anything that sends something out of Doboti, and any permanent delete, waits for your approval in the app.

Assistants are run by their own providers, not by us. We cannot control how an assistant reads your requests: it can misunderstand you, or follow instructions hidden in a document it reads. To the extent the law allows, we are not liable for actions an assistant takes within the access you gave it. What an assistant adds counts as your data under Section 6. The assistant provider’s own terms apply to your use of the assistant.

10. Acceptable use

You agree not to:

  • use Doboti for anything unlawful, including tax fraud, false invoices or money laundering;
  • upload anything you have no right to upload, or anything that breaks someone else’s rights;
  • send spam or unwanted mail through Doboti, or use the Inbox to receive mail you are not entitled to;
  • upload malware, or try to break, overload, probe or get around the security of the Service;
  • reach other companies’ data without permission, or scrape the Service;
  • resell the Service or use it to run a service for others, except to keep the accounts of companies that gave you access.

We apply rate limits, and we may remove content or limit access where it is needed to protect the Service or other people, or where the law requires it.

11. Data processing

For the personal data in your business data (your clients, suppliers, the people named on your documents, your accountant), you or your company are the controller and we are your processor. This section is our data processing agreement under Art. 28 GDPR.

  • We process that data only to provide the Service, following your instructions as given through the app and these Terms.
  • Everyone at Doboti who can reach it is bound by confidentiality.
  • We protect it with the measures in Section 15 of the Privacy Policy.
  • You allow us to use the subprocessors listed in Section 11 of the Privacy Policy. We tell you of a new subprocessor through that list before it starts, and you can object by closing your account.
  • We help you answer requests from the people concerned and meet your security, breach and impact-assessment obligations, as far as the Service allows.
  • We tell you without undue delay if we become aware of a breach of that data.
  • When you delete a company or your account, we delete the data as described in the Privacy Policy. You can export it first.
  • We give you the information you need to show that we meet these obligations, and we answer reasonable questions about it.

You are responsible for having a legal basis for the personal data you put into Doboti.

12. Third-party services

Parts of the Service rely on, or connect to, other services: Stripe and Link (payments), Google (sign-in), ANAF (e-Factura), Oblio (import), and the AI assistants you connect. Their own terms apply to your use of them. We are not responsible for their availability or behaviour.

13. Intellectual property

Doboti, its name, logo, software and design belong to SANDU C. MIRCEA PFA. Nothing in these Terms gives you a right to use them, except to use the Service.

ANAF, Stripe, Google, Oblio, Claude, ChatGPT and other names mentioned here belong to their owners and are used only to identify them. Doboti is independent and is not endorsed by them.

14. Suspension and termination

You can stop using Doboti and delete your account at any time from the app’s settings. If you have a paid plan, cancel it too (Section 5).

We may suspend or close an account, or a company’s access, if it seriously or repeatedly breaks these Terms, if the law requires it, or to protect the Service or other people. Where it is reasonable and lawful, we tell you first and give you a chance to fix the problem and export your data. In serious cases (fraud, abuse, a security threat) we may act without notice.

15. Availability and changes

We work to keep Doboti available and your data safe, with daily backups, but we cannot promise that the Service will be uninterrupted or free of errors. We may carry out maintenance, and we may change, add or retire features.

If we decide to close the Service, we tell you at least 90 days before, and you can export all your data in that time.

16. Limitation of liability

The Service is provided “as is” and “as available”, without warranties beyond those that the law requires.

To the extent the applicable law allows, our total liability for any claim about the Service is limited to the greater of (a) what you paid for Doboti in the 12 months before the claim, or (b) EUR 50. We are not liable for indirect or consequential losses, such as lost profits, lost opportunities, or fines and interest caused by information you did not check or by a deadline you missed.

Nothing in these Terms limits liability that the law does not allow us to limit, including for fraud, gross negligence or wilful misconduct.

17. Governing law and disputes

These Terms are governed by Romanian law. If we cannot settle a dispute amicably, it goes to the competent courts of Bucharest, Romania. If you are a consumer, you keep the protection of the mandatory laws of the country where you live, and you can also go to the courts there.

18. Changes to these Terms

We may update these Terms when Doboti changes. For material changes, we tell you by email or in the app at least 30 days before they take effect. If you don’t agree, you can cancel and delete your account before then. If you keep using the Service after that date, the new Terms apply.
